Estimating Support / Coordinator
This is a full-time position.
Crown Paving, a local Paving Contractor operating in Tennessee, Alabama and Florida and is looking for an Estimating Support/Coordinator to keep our estimating team organized, on schedule, and compliant across every stage of the bid and project lifecycle.
This position serves as a key support role within the estimating department, handling permits, bid documents, subcontractor and vendor paperwork, billing support, and customer portal maintenance so our estimators can stay focused on winning and managing work.
The successful candidate will work in person at our office in Greenbrier, TN, Monday through Friday during normal business hours.
Responsibilities and Requirements
- Prepare and submit NDOT permit applications and track approvals
- Assemble and finalize sealed bid documents ahead of submission deadlines
- Upload and organize proposals in Egnyte for all estimators
- Request Certificates of Insurance (COI) and send W-9 forms as needed
- Print and distribute workorders to field and project teams
- File and track lien waivers for all active jobs
- Support Accounts Receivable (AR) with job-related documentation and follow-up
- Complete and submit AIA billing (G702/G703) for active projects
- Update and maintain company profiles in customer and vendor portals
- Assist estimators with organizing and compiling bid packages and specialized scope data
- Track proposal and permit deadlines to keep the estimating pipeline on schedule
- Maintain organized digital and physical filing systems for contracts, permits, and compliance documents
Qualifications
- 1–2 years of experience in an administrative, coordination, construction support, or similar role
- Proficiency in Microsoft Word, Excel, and Outlook required
- Experience with Egnyte, AIA billing software, and customer/vendor portals is a plus
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and deadlines in a fast-paced environment
- Strong written and verbal communication skills
- Ability to work independently while supporting a team
- Construction industry experience is preferred but not required
